Sending and managing a Change request

Changes to allocations/room blocks agreed via the RoomTrust system must be requested to the hotel via the system.

To make a Change Request, click on View Allocation for the group on the My Groups page:


Click on Change Request at the bottom of the page:


Enter your change requirements into the box and then Submit:

The hotel will be sent an email notifying them of your change request and showing your message in the email text.

Note: Only select the box Allow changes to Terms and Conditions if you accept a change to the cancellation or attrition policies. If this box is not selected the hotel can offer a change in room numbers and rates only. .

Once sent the status of the allocation will change to show an outstanding Change Request:

The hotel will respond to your change request with an offer. They can also decline your request if they cannot accept it but they must provider a reason.


If the hotel accepts your change you will receive an email telling you of their offer. You will also see that the allocation status has changed to Change offer:

Click on View Offer to check that the hotel has offered exactly what you have requested. It's possible they may have offered a different room type at a higher rate, for example.

If happy with the offer you can Accept the Change offer. If not, you can Decline - a reason will be requested.


If the hotel has offered a different room type, you will see a note in the Comments section and can see Alternative offered beside the alternative room type:


Accepting the Change Offer will automatically load the offered rooms and notify the hotel.
