When creating a manual allocation there is a setting for instances where hotels have stated that they will charge the guest credit card provided in the booking before arrival.

The credit card is NOT automatically charged at the time of booking. The hotel will use the card details provided on the rooming list to make the payment.

This is easily set up on the manual allocation:

• In the Guarantee and Payment section set Room paid by to Guest at hotel
• Set Payment requirement to Prepayment

The field Room paid by now displays as Guest prepayment. If Breakfast paid by had also been set to Guest at hotel previously, this now would also display as Guest prepayment.

The section Cancellation of individual rooms or allocation reductions now changes to add an optional check box to select Non-refundable.

Leaving the Non-refundable option open allows you to set a cancellation date before which the card will not be charged or would be refunded if already charged.

Selecting the Non-refundable option removes the possibility to set a cancellation date so prevents cancellation of the booking without charge once booked. Guest confirmations will show Non-refundable prepaid rate
